This notice covers our corporate website and initial enquiries. Where a project involves additional personal-data processing, its arrangements will be addressed in the relevant project documentation.

Information you provide

If you contact us, we may receive your name, business email address, organisation, role, telephone number, project interests and the information you choose to include in your message or attachments. We normally receive this information directly from you, or from a colleague acting in connection with your enquiry.

Providing enquiry information is voluntary. We need sufficient contact details and context to respond, but you do not need to provide unrelated personal information. Please avoid sending sensitive personal data or confidential project material in an initial enquiry.

How the enquiry form works

Our enquiry form prepares an email draft in your browser and opens your chosen email application. It does not automatically send a message. INOTEKIA receives the information only if you send the email or contact us directly.

The website does not submit form contents to a website database or save them in browser storage. Your email application and email provider process the draft and any sent message under their own arrangements.

Why we use information

We use enquiry information to understand your request, respond to questions, discuss potential assignments, prepare proposals and manage related business correspondence. Where an enquiry develops into an engagement, relevant information may become part of the project or contract records.

Purposes and lawful bases under the UK GDPR
PurposeLawful basis
Responding to business enquiries and maintaining relevant correspondenceLegitimate interests in communicating with potential clients and partners and conducting our consultancy business.
Steps you request before entering into a contract, or performing a contract with you personallyContract, where you are personally the contracting party. Business-contact information for an organisation is generally handled on legitimate-interests grounds.
Meeting applicable legal duties or responding to lawful requestsLegal obligation, where a specific duty applies.

Submitting an enquiry does not sign you up to a newsletter. This website does not use enquiry information for automated decisions or profiling that produce legal or similarly significant effects.

Who may receive information

Access is limited to people who need the information to deal with your enquiry or related work. Email, IT and hosting providers may process information in providing their services. Where relevant to a proposal or assignment, necessary information may also be shared with professional advisers or project partners. Information may be disclosed to an authority where the law requires it.

We do not sell personal information. We aim to share only information relevant to the purpose and use appropriate confidentiality and data-protection arrangements for that context.

International processing

Our work is international, and service providers may operate in more than one country. Information may therefore be processed outside the United Kingdom. Where a transfer we make is subject to UK data-protection requirements, an appropriate transfer mechanism is required, such as an adequacy decision or relevant contractual safeguards. Contact us for information about the arrangements applicable to your enquiry.

How long information is kept

Retention depends on the purpose of the correspondence, whether an enquiry remains active, whether it leads to a project, and any applicable contractual, record-keeping or legal-claims requirements. We retain personal information for no longer than needed for those purposes. Information that is no longer required should be deleted or anonymised, subject to legitimate retention requirements.

Contact us if you would like to understand the retention criteria for information you have sent us. Hosting and email providers may apply their own retention arrangements to technical or service records.

Website technology and cookies

Wix hosts this website and may process technical access information, including IP addresses, browser information and request times, to deliver and protect the service.

With your permission, Wix Analytics measures website visits, page views and interactions such as project-link, email-link and telephone-link clicks. Analytics may process device and browser information, referral sources, approximate location and navigation activity. Clicking an email link is recorded as an interaction, not as a submitted enquiry. We do not send the contents of your enquiry form to analytics.

Optional analytics is disabled by default until you allow it. Choose “Essential cookies only” to decline optional analytics, or “Allow analytics cookies” to enable it. You can change your choice through the “Cookie preferences” button at any time. Saving a choice refreshes the page so it takes effect. Withdrawing permission stops optional analytics going forward; it does not remove information already collected.

We do not use advertising pixels or advertising cookies in our website code. Fonts and project images are served with the website. External websites apply their own privacy and cookie arrangements. Browser settings also let you manage stored cookies and site data.

Your data-protection rights

Depending on the processing and applicable law, you may ask to access your personal information, correct inaccurate information, request deletion, restrict processing or receive information in a portable form. These rights have conditions and exceptions; they do not always require all records to be deleted.

Your right to object

You may object to processing based on legitimate interests because of your particular circumstances. If information is used for direct marketing, you may object to that use at any time.

Where we rely on consent, you may withdraw it at any time without affecting the lawfulness of earlier processing. To make a request, email info@inotekia.co.uk. We may need to confirm your identity before releasing personal information.

Questions and complaints

Please contact info@inotekia.co.uk if you have a question or concern about your information.

You also have the right to raise a concern with the UK Information Commissioner’s Office (ICO). You can find current contact details and complaint guidance at ico.org.uk/make-a-complaint.
